We are a small, committed team that cares deeply about what we do – and we are looking for an entrepreneurial, hands-on, and organized individual to join us as Office Manager & Team Support (100%).

About the role:

As Office Manager & Team Support, you keep the elea office running smoothly and are the central point of contact for the team in all organizational and administrative matters. You hold overall responsibility for office management and infrastructure, lead a small team, and coordinate team and investor-related events. You will shape this role from the day-to-day running of the office to coordinating and leading office and team support.

Your core responsibilities:

  • Overall responsibility for the smooth running of the elea office reception, correspondence and mail, supplies, kitchen, and general infrastructure
  • Building and facility management: access control, furniture signage, coordination of the cleaning team, subtenants, and liaison with the landlord and external service providers
  • Functional and organizational leadership of the Office Assistant team, including prioritizing and coordinating day-to-day tasks
  • Travel coordination and guest hospitality, including travel booking, and meeting room and catering arrangements
  • Planning and running internal team events (e.g. team retreats) and supporting investor events, in coordination with other team members
  • Administrative support for HR and Finance – from recruiting logistics and onboarding new colleagues to invoice, expense, and credit-card reconciliation

Exigences

What we would like to see:

  • Commercial apprenticeship with further qualification, or a comparable degree
  • Several years of experience in office management and/or a team-assistance role, ideally in an international, philanthropic, or service industry environment
  • Initial experience in leading or coordinating a small team is an advantage
  • Confident command of German and English, written and spoken; French is an asset
  • Very good MS Office skills and a strong affinity for modern collaboration and office tools
  • Proactive, structured, and independent working style, with a hands-on mentality and high attention to detail
  • A professional and friendly manner with internal and external stakeholders, and discretion in handling confidential information
